Get the most out of your LTP Individual Tutoring experience.

Please thoroughly read the information below.

Schedule and Scheduling

Registration E-mail

After registering, we will contact you regarding scheduling for your student’s tutoring. We will also communicate with you via e-mail from info@loudountestprep.com Sometimes our e-mail from this address is flagged as Junk/Spam/Promotions.  To avoid this, please add info@loudountestprep.com to your Contacts. Contact us if you did not receive it.


Logistics

Technology Platforms

We use several different technology platforms in our programs: Online Score Tracker (OST) for all of our online testing; LearnDash for SAT videos and quizzes; our website Parent/Student Portal; and others. Should your student encounter any issues with any of these platforms, please let their tutor know. They will seek swift resolution to any problems.

Cancellations by You

Loudoun Test Prep makes reasonable efforts to adjust to the hectic schedules of our clients, but only if notice of cancellation is received at least 24-hours in advance of the scheduled appointment or tutoring session.  Cancellations with less than 24-hours advance notice will result in a charge of the full amount of the scheduled time or session.

Publicity

Occasionally, LTP posts images and videos of our classes and students on LTP’s social media accounts. You hereby authorize LTP to capture and post images and videos of your student on LTP’s social media accounts. You may email LTP and ask us to remove any images or videos from LTP’s social media account at any time. Further, your credit card or debit card authorization is also verifiable consent that you are the student’s parent or legal guardian.

Students Must Do Homework

Please ensure your student completes their homework for class and brings in all of their work. Do not assist your student with their homework – we need to understand where they are struggling.

Homework Time

Students should expect several hours of homework per week.

After the midterm, homework includes full-length SATs that ideally are completed in one sitting. If that’s an issue, your student can speak to their instructor for alternative accommodations.

Come Prepared for Class

Please ensure your student brings their LTP BINDER, pencils, and laptop for each class.

Be on Time

Please ensure that you drop-off and pick-up your student on time.  To keep everyone safe, do not stop in the middle of the road.  Parents/students are solely responsible for managing travel arrangements.

Students Only

To keep a fun and interactive environment for students, parents may not remain in the building during class or testing.

Cancellations by LTP

 In the case of inclement weather (e.g. snow storms) and emergencies, this policy may be waived. LTP may consider, but is not obligated to grant, fee waivers for emergencies and such decision shall be at LTP’s sole determination. We will, however, do our best to conduct our classes/sessions virtually when possible to maintain schedules.


Communication

General Communication

The primary contact for questions is Cali Moorman (cali@loudountestprep.com).  If you contact her, please allow her at least 24 hours to respond. Note: We are closed on Fridays.

Student Feedback

As the tutoring progresses, we will send out information about your student’s performance as needed via our website Discussion Thread feature. It is your responsibility as a parent or guardian to read, and if necessary, respond to these communiques.

Check-in with Your Student

By registering for our individual tutoring programs, you are making a considerable investment in your student’s future. Please check in with your student frequently regarding homework, practice test results, and how they’re feeling about the program. The earlier we are made aware of concerns, the sooner we can address them!

Zoom Meetings Use AI & Transcripts

We use Zoom for most of our meetings.

Please know that we use AI to create a transcript of our Zooms. This helps us with follow-up action items and also serves as a reference for historical purposes.


Miscellaneous

Student Email Address

We will ask your student for their email address and cell phone number (if they have a cell phone) for use in tutor-student communication and for creating your student’s LearnDash account (SAT students only).

We will only use this information for professional reasons and it will not be shared externally.

Learning Differences and/or Accommodations

Over the years we have gathered knowledge about how you can help your student with learning differences and/or accommodations to be successful. Read them here.

Note: If your student has testing accommodations (IEP, ADA) of extended time through College Board, while we are able to accommodate additional time, we are unable to accommodate the following: braille, large print text, screen reading technology, or scribes (oral dictation) at this time.

About Test Scores

We use a variety of exams during our program. We have created some of them ourselves, and some are from the College Board. They vary meaningfully in difficulty. Please do not be alarmed if your student scores lower on one exam than another. There is a method to our process as we work to strengthen and refine each student’s abilities.


Cheating Policy

One of the most important aspects of our teaching process is the continual feedback loop. This loop is created by giving students homework based on material presented in that class’s instruction.

Our expectation is that the student will complete their homework without the aid of parents, tutors, or other external materials (such as looking up the specific question online to obtain the solution via photo math or any other source).

Why is this important? If the student receives outside help, we cannot accurately assess where the student needs additional help and where they do not. In addition, after years of trial and error, we feel strongly that our teaching methods will produce optimal outcomes in the real test setting.

This may make more sense when considering a coaching metaphor. You hire a coach to teach your child how to hit a baseball. Another person at home teaches your child a different batting technique. Your child then strikes out at the game. The child received conflicting instruction, and was confused when at bat. We do not want this to happen on test day.


Registering for the SAT and/or ACT

LTP Does NOT Register Your Student

Registering for the SAT or ACT is the sole responsibility of the student and parent.

Not Affiliated with College Board

LTP prepares the student for the SAT and/or ACT, but is not affiliated with the College Board or ACT and does NOT register the student for the actual test.

Register Early

All SAT and ACT test dates have registration deadlines, and test locations will close once at capacity.

All questions regarding the SAT registration process should be directed to the College Board @ 866-630-9305.

Once You Receive Your Scores

Please Send Your Student’s Scores

Visit our Contact page to submit your student’s scores or have them reach out to their tutors. Check the “Submit Scores” option.

Billing

Authorization for Automatic Credit Card Billing

By checking the “I accept” box during your online registration payment, you request and authorize that any amount due on your account may be charged to the credit card you provided to our PCI-compliant online credit card processing system. Further, you authorize LTP to automatically bill the credit card provided for any classes your student has registered for prior to the class starting and, for any individual tutoring, all monthly charges as stated on your monthly invoice. Charges will appear on your monthly credit card statement. LTP reserves the right to terminate this payment plan and/or your participation therein.

In addition to the above, you certify that you are an authorized user of this credit card account and will not dispute these scheduled transactions with LTP’s bank or credit card company; so long as the transactions correspond to the terms indicated in this authorization form. You understand that any transaction may result in an over balance charge against your credit card and LTP is not liable for any expense or other damage that may arise from you providing LTP this authorization. You acknowledge and agree that while LTP takes reasonable steps to protect data it receives, LTP does not receive or retain any credit card information and is not liable for any loss related to loss of the credit card information provided by you.

This authorization and policy includes tutoring, classes, and any other charges incurred on your account while your child is enrolled at Loudoun Test Prep, LLC (“LTP”) and will remain in effect until LTP receives a written notice of cancellation from you or your financial institution. If you want to discontinue this service, you must notify LTP in writing no later than the 7th day of the month. A past due account because of insufficient funds or denied credit cards shall be subject to LTP’s late fees.

Individual SAT/ACT Test Prep

For Individual SAT/ACT Test Prep tutoring students, your monthly bill will be calculated by prorating our 16-hour tutoring framework for any hours used since any prior invoice, minus any credits/deposits made. Your monthly bill will be charged automatically to your credit card. Charges will be rounded to the nearest dollar. The credit card transaction will typically be processed within five (5) days of sending you the invoice.  Any refunds will be processed within 30 days of request.

  1. To register, you will pay $1,000 as a deposit.
  2. At the end of each month, we will send you an invoice noting the number of hours used.
  3. We deduct the pro-rated value for the hours from the $1,000 deposit.
  4. Pro-rating is determined using the 16 hours at $2,999 framework. Most students use between 10-20 hours of tutoring, but each student is different.
  5. We will communicate with you to convey strategy, updates, progress, etc.
  6. Once the $1,000 is exhausted, we will continue with monthly invoicing based on the above pro-rating strategy.
  7. You may elect to cease tutoring at any time that you feel your student is sufficiently prepared for the exam(s).

Our tutor knew that my daughter knew the material, but somehow it wasn’t coming through on the practice tests. He worked backward with her to find the missing link. She began to see success on the practice tests before she took the real SAT. She went into the SAT feeling confident and her score went up 200 points!
